🐾 Doodle Dash Vendor Guidelines & Agreement

Thank you for your interest in participating as a vendor at Doodle Dash hosted by Golden Healers!
To ensure a positive and successful experience for all attendees, vendors, and participants, please review the following guidelines:

✅ Acceptance

• Vendor space is limited and submission of an application does not guarantee acceptance.

• This Agreement becomes effective only after your Vendor Application is accepted by Golden Healers and a confirmation email is issued.

💲 Payment of Booth Space Fee

• Payment for booth space must be submitted in full at the time of application.

• If your application is not accepted, your booth space fee will be immediately refunded.

❌ Cancellation Policy

• Vendors may cancel for a full refund by providing written notice before June 10, 2026.

• After June 10, 2026, no refunds will be issued for cancellations.

📝 Application Evaluation Criteria

Applications will be reviewed based on:

• Alignment of products/services with the mission and family-friendly environment of Doodle Dash.

• Uniqueness, popularity, and avoiding excessive duplication of similar vendor offerings.

• History of compliance with event rules, regulations, and positive conduct at previous events.

• No outstanding debt to Golden Healers or related partners.

• Applications must not promote divisive political or controversial issues.

🛍 Items to Be Sold or Displayed

• Only the products or services listed in your application may be offered.

• No unauthorized products or services may be sold or displayed.

🏕 Booth Space Includes

• Booth fee covers space only.

• Vendors must provide their own tents, tables, chairs, extension cords, equipment, and displays.

• No power, tables, chairs, or canopy equipment will be provided.

⚖️ Compliance Requirements

• Vendors must comply with all applicable Federal, state, county, and local laws.

• Vendors are responsible for collecting and reporting their own Utah State sales tax.

• Sales tax license numbers may be submitted to the Utah State Tax Commission if required.

🚫 Subleasing Prohibited

• Vendors may not assign or sublease any part of their booth space without prior written consent from Golden Healers.

📍 Space Location Assignment

• Booth spaces are assigned at the sole discretion of Golden Healers.

• We reserve the right to relocate booth spaces if necessary for event flow or safety.

🛒 Product/Service Exclusivity

• Product exclusivity is not guaranteed.

• Multiple vendors may offer similar products or services.

📸 Publicity Consent

• Vendors grant permission for the use of event photos or videos for promotional, advertising, and fundraising purposes without compensation.

🧹 Cleanliness Requirements

• Vendors must maintain a clean booth area during and after the event.

• Booth areas must be left in the same condition as found.

• Vendors may be charged for any damages or excessive cleaning needed due to their operations.

🛡 Loss and Liability

• Golden Healers is not responsible for loss, theft, or damage to vendor property.

• Protection and insurance of vendor equipment and goods is the sole responsibility of the vendor.

🔌 Electricity and Generator Use

• Electricity is not provided.

• Generators are prohibited unless prior written permission is obtained.

🚨 Rule Violations

• Violations of this agreement may result in expulsion from the event and disqualification from future Golden Healers events.

⛈ Weather Policy

• Doodle Dash is a rain or shine event.

• Severe weather may cause delays, relocation, or cancellation at the sole discretion of Golden Healers.

• No refunds will be issued due to weather or lower-than-expected sales.

✂ Termination

• Golden Healers may terminate this agreement and remove a vendor immediately if safety, non-compliance, or misconduct occurs.

🛡 Indemnification

• Vendors agree to indemnify and hold harmless Golden Healers, its officers, employees, volunteers, and agents from any claims, liabilities, or damages arising from participation in the event.

🚫 Non-Use of Booth Space

• Failure to occupy your assigned booth space without prior notice will result in forfeiture of booth fees.

🛠 Booth Safety Requirements

Vendors must:

• Ensure all tents, canopies, and structures are properly anchored (minimum of 35 lbs. per leg).

• Ensure displays fit entirely within the assigned booth space and do not obstruct walkways or access points.

• Monitor weather and secure booths accordingly.

• Report any unsafe conditions or injuries immediately to event staff.
